Stores mostly deal with receiving, issuance of materials and stock control
Once the materials are delivered by the various suppliers, it’s the work of the stores to receive them, ensure all the relevant document are in order and in good condition also making sure that the inspection of goods delivered are done on time and entered to respective stores document , e.g. good received note (GRN) etc.
Once material are received in stores, they are kept in store awaiting requisitions from the various departments when the need arises for respective department presents a requisition form to the stores fully authorized by the head of department. The stores then issue the requisited materials to the receiving officer through issue voucher (s11).
Store maintain the level of stock by making sure that material are available whenever the need arise and also ensuring that stock are not maintained at high level or at low level.
High level stock increases the warehousing cost. Item may become obscene, absolute, expired etc.
Low level stock may lead to stoppage of company operation due to lack of materials.
This is done periodically, for audit purposes.
